How to set a budget per head that works
PLANNING · 3 MIN READ · BY THE CULTURA CLUB TEAM

A budget per head is the most useful number in team planning and the easiest one to get wrong. It only works if you know what it covers, who agreed to it, and what happens when the headcount moves.
Start with the total, not the per-head
Find out what you are allowed to spend in total, then divide it by the number of people you expect. Working the other way round, picking a per-head figure that sounds reasonable and multiplying it later, is how a plan quietly outgrows its approval.
Use the headcount you expect, not the headcount on the org chart. If half the team is remote, or three people are on leave, or partners are invited, the real number is different, and the per-head figure changes with it.
What the per-head price should cover
On Cultura Club, listings show fixed prices and pre-set tiers, so the price you see is set by the venue rather than negotiated. Decide which of these your number is meant to include before you compare anything:
- The experience itself: host, space, materials or equipment.
- Food and drink, and whether service is already in the price.
- Add-ons: a longer slot, an extra course, a private room, a drinks package.
- Travel, and the cost of getting a large group home afterwards.
- The platform fee: Cultura Club takes 10%, which is non-refundable once a venue accepts your booking.
Two numbers, not one
Keep a target per head and a ceiling per head, and be honest with yourself about the difference. The target is what you plan around. The ceiling is the point at which you go back to the person who holds the budget rather than absorbing the overspend. Write both down before you start browsing, because every listing looks affordable when you have not decided what affordable means.
Where team budgets leak
- The headcount grows after the price was agreed.
- The tier that fits your group is one step above the one you budgeted for.
- Extras get added one at a time, each one small enough to seem harmless.
- The journey is treated as nobody’s cost until the receipts arrive.
- A deposit or a cancellation charge lands because a date moved inside the free window.
Three questions to ask before you commit
- What exactly does this price include, and what would we pay extra for on the day?
- What happens to the price if our headcount changes up or down?
- What are the cancellation terms, and what is refundable if we move the date?

Set the number, then stop negotiating
The per-head figure is a planning tool, not a promise to your team. Agree it with whoever signs it off, put it in writing next to the headcount it assumes, and then choose the experience that fits it. If the honest answer is that your budget buys a shorter session or a simpler format this year, say so early: a well-run hour beats a strained afternoon.
